Canopy Advisory is an operations documentation consultancy based in South Manchester. We help small businesses create the operational processes they need to grow, hire, and operate consistently.

We are the data controller for the personal information we collect through this website.

What information we collect

When you submit an enquiry through our booking form, we collect:

  • Your name
  • Your email address
  • Your phone number
  • The name and nature of your business
  • Details of the operational challenges you have described

When you contact us directly by email, we collect whatever information you choose to include in your message.

We do not collect payment card details. Invoices are issued separately and payments are made through your chosen method.

Why we collect it and our legal basis

We use your information to:

  • Respond to your enquiry
  • Prepare a scoping assessment or proposal for your business
  • Deliver the services you have engaged us to provide
  • Send you documents, invoices, and updates related to your engagement

The legal basis for processing enquiry information is legitimate interests — specifically, responding to a business enquiry you have initiated. The legal basis for processing information in connection with a service engagement is contract performance.

We do not use your information for unsolicited marketing. We will only contact you in connection with your enquiry or engagement.

Who we share your information with

We use the following service providers to operate our business. Each processes your data only on our behalf and in accordance with our instructions:

  • Formspree (formspree.io) — processes enquiry form submissions
  • Brevo (brevo.com) — email delivery
  • ImprovMX (improvmx.com) — email forwarding
  • Cloudflare (cloudflare.com) — website hosting and DNS

We do not sell your data. We do not share your information with any other third parties without your consent, except where required by law.

How long we keep your information

  • Enquiry data where no engagement follows: deleted after 12 months
  • Client data where an engagement takes place: retained for six years from the end of the engagement, in line with HMRC record-keeping requirements

Your rights

Under UK data protection law, you have the right to:

  • Access the personal data we hold about you
  • Request correction of inaccurate data
  • Request deletion of your data where no legal obligation requires us to retain it
  • Object to processing based on legitimate interests
  • Request restriction of processing in certain circumstances
